Facility Rental Agreement Policies

OFFICIAL POINT OF CONTACT
A contact person representing the party renting the space must be identified to CAG’s on-site representative and is required to remain at the facility for the duration of the event.

DEPOSIT/RENTAL FEES (See details in appropriate sections)
A signed contract and date-hold 50% deposit of costs associated with event space rental must be received to reserve requested date(s) and time(s).  The balance of space rental fee is due ten (10) days prior to the scheduled event.  Space rental fees are provided on a separate sheet and provided below are additional fees that may be incurred based on the needs of the event.

  • Kitchen- $200
  • Tables(rectangular available at no cost/rounds must be rented from outside source)
  • Security($25/hour for each guard)
  • Custodial($15/hour per worker)
  • Audio Visual($100 per event)

SECURITY DEPOSIT
A $100 refundable security deposit is required and will be returned, in full, within 2-3 days following event if space is left in clean condition with no evidence of any damages or property loss.

KITCHEN USE
Non-cooking use of kitchen will incur cost in addition to event space rental fee and includes the following:

  • Basic kitchen use
  • Ice Maker
  • Warmer unit
  • Hot/cold serving counter

A licensed, certified caterer must be present in kitchen area at all times during the preparation and serving of meals.

SECURITY
The cost of security is $25.00/hour per guard.  Events attended by not more than 50 persons require one security guard. More than 50 but not more than 100 persons will require two security guards.  Discretion will be used for determining the need for additional security personnel based on increased number of persons expected to be present.  Security Guard service provider requires a minimum of four hours per security guard hired. Holiday rates are time and a-half.

Security must be present one-half hour prior to event and until its end (including clean-up).  Cost of security is responsibility of user and payable to CAG.

SECURITY WITH ALCOHOL
Additional insurance and security are required when alcohol is to be present. Specifics will be provided when applications are being considered.

CLEANING AND TRASH REMOVAL
The CAG facility will be in a clean condition prior to your event.  Following the event, you are required to return the space to the same clean condition in which it was found.  Trash should be placed in outside trash cans at end of event. Any excessive cleaning required following event is subject to additional fees and is at the discretion of staff. All decorations must be removed.

The services of a clean-up crew are available for a fee of $15/hour per person – minimum two-hour hire.  Trash receptacles are at rear exterior of building—ask for key.

PARKING/DELIVERIES
Limited parking available on CAG property.  CAG ACCEPTS NO LIABILITY FOR VEHICLES PARKED ON THE PREMISES.  Do not block driveways and be respectful of our neighbors.

  • Deliveries must be scheduled with applicant’s Special Events person, to include deliveries by contracting party as well as outside vendors.
  • Delivery staff must check in at the front entrance desk and make all deliveries at rear of building.
  • During the delivery and removal of materials, proper care must be taken to protect the walls, floors and furnishings of the facility.

ENTRY AND EXIT
A representative of CAG will be available during your entire event and may be checking periodically with the responsible parties to ensure everything is operating correctly.  They will also check restrooms, overall premises, replenishing hand towels, toilet paper, and will be available for questions or to respond to needs or issues that may arise.

FLOOR PLAN AND ROOM SET-UP
Must be provided to CAG 30 days prior to event and should include number of chairs and tables required.

FOOD AND BEVERAGE
A commercial kitchen is available for use and requires appropriately licensed persons to be present while kitchen is in use.  No food preparation; however, prepared food may be brought in.  You have the freedom to use your own caterer.

NOISE LEVELS, MUSIC, AND ENTERTAINMENT
Hosts and vendors agree to ensure that noise levels do not disrupt the neighborhood and will lower amplified sound and outdoor noise as needed or when directed by CAG staff.

DECORATIONS
Set up and take down decorations, returning building to its condition prior to event.  No tacks or nails.  No tape on any surfaces.  Only LED candles in candle holders allowed.

INSURANCE
Special Event Liability Insurance is required of all renters for the date(s) of intended use and is due no later than ten (10) business days prior to event. Insurance must, at renter’s sole expense, provide and maintain general liability insurance, including but not limited to bodily injury and property damage liability, insuring Community Action Group employees, volunteers, contractors, vendors against all bodily injury, property damage, personal injury and other loss arising out of renter’s use and occupancy of the premises.  The insurance required herein shall have a single limit liability of not less than $1 million. “Community Action Group” must be listed as an additional insured party on the contracting party’s general liability insurance policy for the duration of the event.  If alcohol is served, your policy must include Liquor Liability coverage.  If the user does not have insurance coverage, special events coverage can be purchased through CAG requiring 2-3 days processing – you will be notified of cost.
